Artificial Intelligence helps The FlyTribe deliver faster, smarter and more personalised support for business travellers and the organisations they serve.

This AI Policy explains how we use AI responsibly, the principles that guide its development and the safeguards we have in place to promote accuracy, transparency, privacy and human oversight.

1. Purpose

Artificial intelligence is central to The FlyTribe experience.

This AI & Responsible Use Policy explains how The FlyTribe develops, provides and governs artificial intelligence features across its Platform.

It also sets out the responsibilities of Members, Employers and Partners when using AI-powered services.

This Policy forms part of The FlyTribe's wider governance framework alongside our:

  • Employer Terms & Conditions;

  • Partner Terms & Conditions;

  • Privacy Policy;

  • Acceptable Use Policy;

  • Data Processing Addendum.

2. Our AI Principles

The FlyTribe is committed to using artificial intelligence responsibly.

Our approach is guided by the following principles:

Safety

AI should improve traveller safety and wellbeing.

Human Oversight

Important decisions should always involve appropriate human judgement.

Transparency

Users should understand when they are interacting with AI-generated content.

Privacy

AI should operate in accordance with applicable data protection legislation.

Security

AI systems should be protected against misuse, abuse and unauthorised access.

Fairness

We seek to minimise bias and continually improve the quality of AI outputs.

Continuous Improvement

AI technologies evolve rapidly.

The FlyTribe continually reviews and improves its AI services.

3. AI Features

The Platform may include artificial intelligence functionality including, but not limited to:

  • Ask Abeona;

  • Meeting Assistant;

  • Strategic Scribbler;

  • Translation services;

  • Business phrase generation;

  • Travel recommendations;

  • Country intelligence assistance;

  • Content summarisation;

  • Productivity tools;

  • Future AI-powered features released by The FlyTribe.

Features may change over time as technology evolves.

4. Intended Use

The FlyTribe AI services are designed to support business travellers by assisting with:

  • travel planning;

  • productivity;

  • communication;

  • information retrieval;

  • meeting support;

  • professional writing;

  • translation;

  • destination guidance;

  • business travel preparation.

AI services are intended to assist—not replace—professional judgement.

5. AI Limitations

Artificial intelligence is inherently probabilistic.

Accordingly:

  • outputs may contain inaccuracies;

  • information may become outdated;

  • responses may be incomplete;

  • recommendations may not be appropriate in every circumstance.

Users should independently verify important information before relying upon it.

6. No Professional Advice

Unless expressly stated otherwise, AI-generated outputs do not constitute:

  • legal advice;

  • medical advice;

  • financial advice;

  • tax advice;

  • immigration advice;

  • employment advice;

  • security advice;

  • professional consultancy.

Users remain responsible for decisions based upon AI outputs.

7. User Responsibilities

Users agree to:

  • use AI services responsibly;

  • verify important outputs;

  • comply with applicable laws;

  • avoid misuse;

  • report suspected errors where appropriate.

Users must not:

  • use AI to generate unlawful content;

  • deliberately attempt to bypass Platform safeguards;

  • generate harmful or discriminatory material;

  • impersonate another individual;

  • infringe intellectual property rights;

  • submit malicious prompts intended to compromise Platform security.

8. Privacy and Data Protection

The FlyTribe processes personal information used by AI features in accordance with:

  • applicable data protection legislation;

  • our Privacy Policy;

  • our Data Processing Addendum where applicable.

Users should avoid submitting unnecessary personal or confidential information to AI features unless required for the intended functionality.

9. Security

The FlyTribe implements appropriate technical and organisational measures to protect AI systems and associated data.

These measures may include:

  • authentication controls;

  • access management;

  • monitoring;

  • encryption where appropriate;

  • vulnerability management;

  • incident response procedures.

Security measures evolve alongside emerging risks.

10. Intellectual Property

AI-generated outputs may be subject to intellectual property rights depending on applicable law and the nature of the content.

The FlyTribe retains all intellectual property rights in:

  • the Platform;

  • AI models;

  • prompts;

  • algorithms;

  • software;

  • training materials;

  • documentation;

  • proprietary workflows.

Nothing in this Policy transfers ownership of The FlyTribe's intellectual property.

11. Accuracy

Whilst The FlyTribe continually seeks to improve AI quality, we do not guarantee that AI-generated information will always be:

  • accurate;

  • complete;

  • current;

  • suitable for every purpose.

Users should exercise professional judgement when relying upon AI outputs.

12. Monitoring and Improvement

To improve AI quality, The FlyTribe may analyse system performance, user feedback and technical metrics where permitted by applicable law.

We use this information to:

  • improve accuracy;

  • enhance safety;

  • detect misuse;

  • optimise performance;

  • develop future functionality.

13. Misuse

The FlyTribe reserves the right to suspend or restrict access where AI services are used to:

  • facilitate unlawful activity;

  • create harmful content;

  • abuse other users;

  • compromise Platform security;

  • infringe third-party rights;

  • breach our Acceptable Use Policy.

Serious misuse may result in termination of Membership or legal action.

14. Changes to AI Services

Artificial intelligence develops rapidly.

The FlyTribe may:

  • introduce new AI features;

  • retire existing features;

  • improve models;

  • update safeguards;

  • modify functionality.

Such changes are part of the ongoing development of the Platform and do not necessarily constitute a material reduction in the Services.

15. Regulatory Compliance

The FlyTribe is committed to complying with applicable laws governing artificial intelligence, privacy and digital services.

As legislation and regulatory guidance evolve, we may update this Policy and our AI governance practices accordingly.
