Creating a Safe and Trusted Community

The FlyTribe is designed to help business travellers and organisations connect, collaborate and travel with greater confidence.

To ensure every member enjoys a safe, professional and respectful experience, we ask that our platform, services and community features are used responsibly and in accordance with this Acceptable Use Policy.

By using The FlyTribe, you agree to use our services lawfully, respectfully and in a way that protects the experience, privacy and security of all members.

1. Purpose

This Acceptable Use Policy ("Policy") sets out the rules governing access to and use of The FlyTribe Platform, Website, Memberships and associated Services.

It applies to:

  • individual Members;

  • Employer customers;

  • Partner organisations;

  • authorised users;

  • visitors to the Website;

  • anyone accessing or interacting with The FlyTribe Platform.

This Policy forms part of the contractual relationship between users and The FlyTribe Ltd.

Failure to comply with this Policy may result in suspension or termination of access and may lead to legal action where appropriate.

 

2. Our Principles

The FlyTribe exists to create a trusted global community that helps people travel more safely, work more productively and build meaningful professional connections.

All users are expected to act:

  • lawfully;

  • honestly;

  • professionally;

  • respectfully;

  • responsibly.

Users must not engage in behaviour that compromises the safety, security or experience of others.

 

3. Who This Policy Applies To

This Policy applies whenever you:

  • browse our Website;

  • create or use a Membership;

  • participate in Organisation Hubs;

  • communicate with other Members;

  • attend or organise events;

  • publish content;

  • use AI-powered services;

  • interact with The FlyTribe community.

Employers are responsible for ensuring that their Authorised Users comply with this Policy.

Partners are responsible for ensuring that customers introduced through them comply where applicable.

 

4. Lawful Use

You may use The FlyTribe only for lawful purposes.

You agree that you will not use the Platform:

  • in breach of any applicable law or regulation;

  • to facilitate criminal activity;

  • to infringe another person's rights;

  • to impersonate another individual or organisation;

  • to distribute unlawful material;

  • to engage in fraudulent conduct.

 

5. Account Security

Users are responsible for maintaining the confidentiality of their login credentials.

You must:

  • keep passwords secure;

  • use strong passwords;

  • notify The FlyTribe immediately if you suspect unauthorised access;

  • ensure your account is used only by you unless expressly authorised under your agreement.

You must not:

  • share login credentials;

  • allow another individual to access your account;

  • attempt to gain access to another user's account.

 

6. Respectful Behaviour

The FlyTribe is a professional global community.

Users must behave respectfully towards others at all times.

You must not:

  • harass or intimidate another user;

  • discriminate against any individual or group;

  • publish defamatory statements;

  • engage in abusive or threatening behaviour;

  • encourage violence;

  • promote hatred or extremism;

  • bully or stalk another user;

  • publish sexually explicit content;

  • publish offensive or obscene material.

Professional disagreement is acceptable.

Abusive behaviour is not.

 

7. User Content

Users remain responsible for all content they publish or upload to the Platform.

This includes:

  • posts;

  • comments;

  • images;

  • videos;

  • event information;

  • messages;

  • travel journeys;

  • recommendations;

  • profile information.

By publishing content you confirm that:

  • you own it or have permission to use it;

  • it does not infringe third-party rights;

  • it is lawful;

  • it is accurate to the best of your knowledge;

  • it complies with this Policy.

 

8. Prohibited Content

You must not upload or distribute content that:

  • is unlawful;

  • infringes copyright;

  • infringes trade marks;

  • infringes privacy rights;

  • promotes terrorism;

  • promotes violence;

  • contains malware;

  • contains viruses;

  • contains ransomware;

  • promotes illegal drugs;

  • promotes human trafficking;

  • promotes child exploitation;

  • contains fraudulent schemes;

  • contains phishing attempts;

  • contains spam;

  • contains misleading investment advice;

  • infringes export controls or sanctions.

 

9. Professional Networking

The FlyTribe encourages genuine professional networking.

Users must not:

  • harvest contact details;

  • send unsolicited bulk messages;

  • scrape member information;

  • create fake profiles;

  • misrepresent their identity;

  • solicit business through deceptive practices.

Networking should always be conducted respectfully and professionally.

10. Artificial Intelligence Services

The FlyTribe provides artificial intelligence features to assist Members with business travel planning, productivity and communication.

These may include:

  • Ask Abeona;

  • Meeting Assistant;

  • Strategic Scribbler;

  • Translation services;

  • AI recommendations;

  • automated summaries;

  • future AI-powered tools.

Users must not:

  • deliberately manipulate AI systems to produce unlawful or harmful content;

  • use AI to generate abusive, discriminatory or defamatory material;

  • rely upon AI outputs as professional legal, medical, financial or immigration advice;

  • attempt to reverse engineer AI models;

  • use AI services to infringe intellectual property rights;

  • use AI services in a manner that breaches applicable law.

Users remain solely responsible for decisions made using AI-generated information.

 

11. Platform Security

You must not:

  • attempt to bypass security controls;

  • interfere with Platform infrastructure;

  • probe or scan for vulnerabilities without authorisation;

  • introduce malware or malicious code;

  • perform denial-of-service attacks;

  • attempt to intercept data belonging to another user;

  • exploit software vulnerabilities;

  • access systems without permission.

Any suspected security incident should be reported immediately to The FlyTribe.

 

12. Intellectual Property

The FlyTribe owns, or is licensed to use, all intellectual property relating to the Platform, including:

  • software;

  • branding;

  • logos;

  • trade marks;

  • written content;

  • graphics;

  • databases;

  • AI technologies;

  • travel intelligence;

  • user interfaces;

  • documentation.

Users must not:

  • copy substantial parts of the Platform;

  • distribute proprietary material without permission;

  • create derivative works based upon the Platform;

  • remove copyright notices;

  • claim ownership of The FlyTribe intellectual property.

 

13. Privacy and Personal Information

Users must respect the privacy of others.

You must not:

  • publish another person's personal information without lawful authority;

  • collect personal data for unauthorised purposes;

  • harvest contact details;

  • misuse information obtained through the Platform;

  • disclose confidential information belonging to another Member or organisation.

Where personal information is processed, users must comply with all applicable data protection legislation.

 

14. Events and Community Activities

Where Members organise or attend events through The FlyTribe, they agree to:

  • behave professionally;

  • comply with applicable laws;

  • respect venue rules;

  • respect the safety and wellbeing of other attendees;

  • avoid discriminatory or inappropriate behaviour.

The FlyTribe may remove events or restrict participation where necessary to protect Members or the integrity of the community.

 

15. Monitoring and Enforcement

To protect the Platform and its users, The FlyTribe may monitor activity where permitted by applicable law.

Where we reasonably believe this Policy has been breached, we may:

  • remove content;

  • issue warnings;

  • suspend accounts;

  • terminate Memberships;

  • restrict Platform functionality;

  • report unlawful activity to relevant authorities;

  • pursue legal remedies where appropriate.

The FlyTribe is not obliged to provide advance notice before taking action where immediate intervention is necessary to protect users or the Platform.

 

16. Reporting Misuse

If you believe this Policy has been breached, you should notify The FlyTribe as soon as possible.

Reports should include, where available:

  • details of the incident;

  • relevant usernames;

  • dates and times;

  • supporting evidence such as screenshots or links.

The FlyTribe will investigate reports in accordance with its internal procedures but cannot guarantee a particular outcome.

 

17. Suspension and Termination

Failure to comply with this Policy may result in:

  • temporary suspension;

  • permanent removal from the Platform;

  • termination of Membership;

  • termination of Employer or Partner access;

  • removal of published content;

  • restriction of Platform features.

Serious or repeated breaches may also result in legal action.

 

18. Changes to this Policy

The FlyTribe may amend this Policy from time to time to reflect:

  • changes in law;

  • technological developments;

  • new Platform features;

  • operational requirements;

  • security considerations.

The latest version will always be published on the Website.

Continued use of the Platform following publication constitutes acceptance of the updated Policy.

 

SCHEDULE 1 — Examples of Prohibited Activity

Examples include, but are not limited to:

  • creating fake accounts;

  • impersonating another person or organisation;

  • distributing malware or phishing content;

  • uploading unlawful or offensive material;

  • scraping or harvesting Platform data;

  • sharing login credentials;

  • using bots to access the Platform without authorisation;

  • attempting to bypass Platform security;

  • misusing AI features;

  • infringing intellectual property rights;

  • sending unsolicited bulk communications (spam);

  • using the Platform to promote illegal activities.

 

SCHEDULE 2 — Enforcement Measures

Depending on the nature and seriousness of a breach, The FlyTribe may:

  • issue an informal warning;

  • issue a formal written warning;

  • temporarily suspend specific Platform features;

  • suspend an account;

  • permanently terminate access;

  • remove or edit content;

  • notify an Employer or Partner where appropriate;

  • report suspected criminal activity to law enforcement or regulatory authorities;

  • pursue civil remedies, including injunctive relief and recovery of losses where permitted by law.

Enforcement decisions will be made at The FlyTribe's reasonable discretion, taking into account the severity of the breach, the impact on other users and the integrity of the Platform.
